Office Assessment Procedures – FY 2003
1. Hardware Assessment
a. Clear the offices’ workstation container at least two days prior to doing the assessment.
b. Print out hardware by office report from HelpDesk.
c. Review report to make sure it matches the offices’ current hardware.
d. Update machine names and registrations if not on the list.
e. Print the hardware by office report and verify (do this until all machines are displayed).
f. List the printers in the office and the types of printers.
2. Network Assessment
a. Where is the offices’ switch location— is it out of date?
b. What is the connection to the desktop and backbone?
3. Information System Assessment
a. What systems are they using?
b. What do they want to do?
c. Replacement cycle for the area.
4. Work order review
a. HelpDesk
b. Training
c. Web
5. Review Problems and Issues
6. Closing meeting and documents
a. Assessment memo – Word template

7. Have the documents put on the Web
The following hardware assessment table has been established as a starting point. Our objective for spring 2003 is to upgrade all hardware to Windows XP. This table bases the assessment of the hardware on its ability to have the operating system upgraded. Other considerations are: the user, software used, system functionality and location.

· Hardware assessments are a combined hardware and user needs assessment
· Any hardware that is in a production location and is out of warranty is automatically rated at a “2”
· The table above was developed to make sure all hardware in the Division is capable of upgrading to Windows XP.
· All hardware scoring a “2” can be upgraded to the next levels by adding RAM.
· All computers scoring “1” or “0” should be replaced when possible.
· Processors below 350Mhz are candidates for replacement when possible.
· The replacement cycle goal is set for three years for production hardware and servers, and five years for non-production hardware.
